Virtual Phone System

The virtual phone system is important for ensuring the success of a company. The system will help you set up a service or product and more importantly offer great support to the customers. With the help of efficient and personalized services, the virtual phone system is your secret to keep the customers going back, even if there is a problem with the services offered. You can always rectify your errors, but you can’t really afford poor customer service because, what inevitably follows is clients changing companies. You can now streamline your customer service with the help of a resourceful phone system.

Rope in Your Clients with Efficient Business Transactions

The virtual phone system helps in personalizing communication between your service and the clients. That’s because it is something the internet cannot do, despite its widespread popularity. Having a personalized virtual phone system from a well informed representative is a great way to enhance your communication pattern and make the process of initial connections and returning of messages quick and effortless. The virtually operated phone system works just like your traditional land line, with the difference being that the system is specific to a company and is operated by a dedicated provider.

The provider of the virtual phone system stores the hardware off site. The only parts of the equipment required by the client company are the phone jacks and phones. There are several advantages offered by the virtual phone system as compared to the usual customer care service. The most recognized of them is to employ people in multiple locations without having more than a single telephone number. There may be multiple staffed locations in the business and everyone can share the identical phone system. This implies that there are no messages lost or misdirected. Moreover, irrespective of the physical location of the employer, they can easily access their messages.

Customer Retention

The dread of the busy signal is also eliminated by the virtual phone system. All calls made to the system are directed to an active line with a real person or to a particular voicemail. Having this system is highly helpful in terms of customer retention because a customer who receives busy signals whenever they call will eventually stop calling. The virtual phone system helps the company establish an extensive automated menu and attendant, allowing clients to choose the direction of their calls. Virtual systems help in call hunting.

In the field of call hunting, what happens is that the person tries to call all the numbers that are there in the sequence. The caller can also call all numbers at once to be directed to a real rep before proceeding to voicemail. This means that the virtual phone system will have fewer messages to handle and brief waiting periods. Calls can even be routed to multiple locations so that customer concerns can be efficiently handled and resolved. However, the aspect of getting diverted to voicemail still remains and customers generally leave a couple of messages, but then the company should get back to them shortly so that the client is not lost.

  1. We are in Plainview NY installing Cloud Service Networks, but many clients are always mobile. So, we have mobile apps for Google and Apple, and will be completely mobile device browser compatible in the summer 2016. We like to call it Virtual Receptionist, and then route the calls to cell phones. Happy in the Cloud!

  2. According to my point of view if you're looking to buy a business phone system, then there are three important things you need to figure out first:
    1. Do you need a full phone system that includes physical office telephones, or could your business get by with a virtual phone service that relies solely on cell phones instead of traditional office phones?
    2. If you do need office telephones, what kind of service do you want?
    3. If you choose VoIP, do you want to house the VoIP system at your business location (self-hosted) or have it hosted by your service provider (cloud-based)?
